Privacy Policy

Reality Intelligence Association (RIA) is committed to protecting your privacy and is open about how we handle your information. RIA is a not-for-profit company limited by guarantee registered in England & Wales (no. 17164289), with its registered office at 71–75 Shelton Street, Covent Garden, London WC2H 9JQ, and is registered with the Information Commissioner's Office under number ZC158818. This policy covers information collected through riauk.org, through the application form linked from this site, and by email. Applications made through our separate mainland China channel are covered by a notice provided within that form.

We will not collect any information about you unless it is specifically and knowingly provided by you, other than the limited technical information our host records in order to deliver and secure the site. If you apply to one of our open calls, we collect your name, email address, location, submission category, the PDF you upload and confirmation of your fee payment. We use this to assess your application, to tell you the outcome, and to arrange your participation if you are selected. We do not receive your full card details. If you write to us, we keep your message in order to reply. The information we hold will be accurate and up to date; you can check it at any time by contacting us at info@riauk.org, and we will correct any inaccuracies you report.

We never sell your information or share it for advertising. We do rely on a small number of service providers who process data on our behalf under written terms: Jotform for our application form, Stripe for payments, Microsoft 365 for email, and Cloudflare for hosting. Some of these operate outside the UK, and such transfers are made under the safeguards required by UK data protection law. Your submission itself is read-only by RIA's curatorial team.

We operate an opt-in mailing system, so you will only hear from us about our programmes if you have asked to. Every message includes an unsubscribe link, and replying to it will remove you from our list. This website sets no tracking or advertising cookies, though our embedded application form may set cookies necessary for it to function.

Unsuccessful applications are deleted 12 months after the open call closes; records relating to selected participants and our financial records are kept for six years, as required by UK company and tax law. You may ask us for a copy of your data, ask us to correct or delete it, object to how we use it, or withdraw your consent at any time by emailing info@riauk.org, and we will reply within one month. If you are unhappy with our response, you can complain to the Information Commissioner's Office at ico.org.uk.
